We are currently seeking a Project Management Director for our New York office to run project management for a dynamic, fast paced agency. This position includes client facing needs, and includes supporting the overall macro planning for the agency, prioritizing of work, agency resourcing, process enforcement, owner and driver of individual project plans, and ensuring all work is delivered with the highest quality, on-time. 

About the Job

  • Drive and optimize macro agency workflow – from account to strategy to delivery, translating into project plans utilized for resource planning and managing agency-wide workflow to help ensure that key internal teams are adequately resourced and that the agency is able to meet overlapping multi-client deadlines and on-time execution of deliverables. This involves working closely with agency management, account leads, creative, studio, and operations.
  • Manage process and accountable for workflow and work prioritization (by account, by project), involving input from key stakeholders (leaders in strategy, account, creative, delivery, etc.) and using established processes to ensure that decisions are made in the best interest of the clients, patients, and the agency.
  • Serve as communication hub between all agency team members, proactively keeping project plans up-to-date, and enforcing timeframes to ensure client deliverables are met. Also, alerting appropriate teams if project is at risk of meeting a deliverable or if project strays from original parameters and problem solving with teams on how to rectify the situation.
  • Identify, estimate, and escalate resource needs (freelance, hires, new roles, etc.) based on current and future scope. Focus should be forward looking with the ability to forecast resource needs well in advance of deliverable dates.
  • Involved in budget/scopes/project completion dates to ensure appropriate agency resource planning for upcoming projects, project kick-offs, and resource management for ongoing projects.
  • Uphold and enforce agency process for all initiatives to ensure client and agency best practices to meet client and patients’ needs.
  • Lead internal team status to ensure all teams are aware of current next steps and future project deliverables.
  • Work with client process leads to enable internal processes that meet our various client needs; engage in subject matter task forces for client process improvements

Project types include:

  • Digital projects such as:
    • Websites, Banners, Emails, Mobile Apps, Virtual Reality/Augmented Reality
  • Print projects such as:
    • Brochures, Print Ads, Wallboards, Wallet Cards
  • Specific integrated initiatives such as:
    • Relationship Marketing programs, Patient Experience programs


  • College degree, PMP certification preferred but not required
  • 6-8 years in project management in a dynamic environment
  • Interest in communication and/or marketing
  • Proficient in Project Management software
  • Pharma experience preferred but not required
  • CRM experience a plus
  • Strong time management and organization skills
  • High level attention to detail
  • Proactive thinking and problem solving
  • Ability to effectively negotiate and manage conflict
